Pencil Pooch: Terms of Commission

1. Booking & Payment
To provide the exquisite detail your pet deserves, each commission is handled with dedicated studio time.
Deposit: A 25% booking fee is required to secure your place in my schedule. Work will not commence until this is received. This is non-refundable.
Final Balance: The remaining 75% is due upon completion. I will send you a digital preview of the finished piece; once approved and the balance is paid via Bank Transfer, your portrait will be dispatched.
2. The Reference Photo
The quality of the final portrait is directly linked to the quality of the photograph provided.
Quality Check: Photos must be sent via email to avoid social media compression.
Right of Refusal: I reserve the right to reject photos that are blurry, poorly lit, or lack sufficient detail. We will work together to find the perfect reference before the deposit is paid.
3. The Creative Process & Revisions
I want you to love the tribute to your pet.
The Sketch Phase: Once the initial sketch is complete, I will share it with you. At this stage, you may request a size change (e.g., upgrading from 6×6 to 8×10).
Finality: Once the sketch and size are agreed upon and I begin the “Exquisite Detail” phase, no further changes can be made to the composition or scale.
4. Turnaround & “Rush” Orders
Standard Lead Time: Typically one week, though this is subject to my current workload. I will provide an estimated completion date upon booking.
Rush Fees: If you require a portrait for a specific last-minute date, a 20% Rush Fee will be applied to the total price to prioritise your commission.
5. Shipping & Global Delivery
United Kingdom: Premium tracked shipping is included. Carrier: Royal Mail Tracked 48. If you would like a specific shipping, additional costs apply.
International: I ship globally; however, the customer is responsible for any additional international shipping fees, customs duties, or local taxes.
Lost Parcels: If your portrait is not received within 30 working days due to postal complications, I offer two solutions: A free high-quality print replacement or a full re-draw of the original with a 25% discount.
6. Copyright & Usage
The Artist: I retain the copyright to the artwork. I reserve the right to use images of the drawing (and the creation process) for marketing, social media, YouTube timelapses, and my professional portfolio.
The Client: Once purchased, you are free to use the image of your drawing for personal use (e.g., sharing on social media or printing personal cards). Commercial resale of the image is prohibited without prior written agreement.
7. Cancellations
Deposit Retention: Should you choose to cancel the commission at any point after work has begun, the 25% deposit is non-refundable to cover my time and materials.
Ownership of Work: In the event of cancellation, the physical and intellectual property of the incomplete drawing remains with Pencil Pooch.
Privacy: If you wish for me not to use your original reference photo for marketing after a cancellation, please explicitly state this in your cancellation email.
