At Pencil Pooch, I take your privacy seriously. This policy explains how I collect, use, and protect your personal information when you commission a pet portrait or interact with my business.
1. The Information I Collect
To create your custom artwork and get it to you safely, I need to collect the following:
Identity & Contact Details: Your name and email address.
Pet Information: Your pet’s name and the photos you send me to use as references for the portrait.
Delivery Details: Your physical address and phone number (only for shipping purposes).
Communication History: Records of our emails or messages regarding your commission.
2. How I Use Your Information
I only use your data to provide the service you’ve requested. Specifically, I use it to:
Create Your Artwork: I use the photos you provide as a reference for the drawing.
Communicate: To send you updates, progress shots, and final approval images.
Facilitate Delivery: To label your package and, if required, provide contact details to the courier (e.g., Royal Mail or DPD) so they can update you on your delivery.
Invoicing: To manage the business side of your order.
3. Sharing Your Information
I do not sell or rent your data to third parties. I only share information when it is essential to complete your order:
Delivery Services: I share your name and address with my chosen courier to deliver your portrait.
Payment Processors: If you pay via a third-party link (like PayPal or Stripe), they will process your payment data securely under their own privacy policies.
4. Photo Privacy & Copyright
The photos you send me remain your property. I will only store them for the duration of the
project and a short period afterward in case a replacement is needed.
Social Media: I will only post images of your finished portrait (or progress shots) on social media or my website if I have your permission. I will never share your personal reference photos without asking first.
5. Data Retention
I keep your contact and order details for as long as necessary to fulfil the contract and to meet UK tax and accounting requirements (usually 6 years). Reference photos are typically deleted 6 months after the portrait is delivered, unless we agree otherwise.
6. Your Rights
Under the UK GDPR, you have the right to:
Request a copy of the data I hold about you.
Ask me to correct any wrong information.
Request that I delete your data (where I am not legally required to keep it for tax purposes).
